Great science comes from all kinds of organizations, and one of the best ways to find quality leads is to show thought leadership at a relevant conference. ASHG welcomes and encourages industry speakers and presentations at the Annual Meeting to present what’s new and exciting in the field with our attendees. The ASHG Annual Meeting is an ideal forum to host an event whether it be an informal networking gathering or a structured scientific forum, ASHG 2024 is the best place to engage with the human genetics and genomics community.

Host your Next Industry Event at ASHG
Space will be available for commercial companies (both exhibitors and non-exhibiting companies) to host educational events at either the convention center and/or official ASHG hotels on the open days for the Exhibit & Poster Hall (November 6-8) during programming breaks, lunch windows, and during poster presentations.
Sponsors plan the content of each session, subject to application and approval by ASHG. Eligible events are listed on the online schedule and in the official mobile app. Due to limited space during the lunch period, ASHG will only program one lunch event per company per CoLab session; this requirement is waived for Industry Education sessions for 2024 as only lunchtime slots are available this year.
We also welcome our industry partners to explore engaging our attendees through ancillary events and exhibitor social events.

Industry Event Formats
CoLab Sessions
These 30-minute sessions are held in open-air theaters on the Exhibit & Poster Hall floor during scientific session breaks, the lunch period, and during poster presentations. These sessions are great for quick project updates and short demos with one or two presenters. The CoLab fee covers a portion of the total CoLab Theaters’ setups, furniture, and A/V equipment rental, a listing on the online planner/schedule of events and mobile app, and ASHG’s administrative cost. These sessions are turnkey – just show up with your presentation on a USB drive and present!
Industry Education Sessions
These 60-minute sessions are held over the lunch break in dedicated meeting rooms at the Colorado Convention Center and are perfect for deep dives, panel discussions, and longer format demos. Sponsors will have the opportunity to order catering, AV, and other services to best suit your session’s needs. The Industry Education session fee includes the room rental fee, chairs set up theater style based on the room’s capacity, a listing on the online planner/schedule of events and mobile app, and ASHG’s administrative cost; all services (including AV) must be ordered and managed separately by the organizer.
Hosting Additional Events: Ancillary and Social Events
ASHG sets aside space at the convention center and host hotels every year for our members and their connected organizations to convene while their groups are together for the Annual Meeting. Organizers must apply to host these events at either the convention center or host hotel; there is no fee due to ASHG to host or apply, but any room rental fees and all event services and logistics must be ordered and managed by the organizer. Ancillary events are not permitted to overlap scientific programming and must not be primarily promotional in nature.
Space is assigned on a space-available basis according to the priority list below in a manner that will best accommodate as many events as possible:
- Official ASHG-related events.
- Events that relate to scientific scholarship, conduct of research, delivery of services, and/or public information related to science.
- All other requests, such as exhibitor workshops and committee meetings.
ASHG also accepts applications for hosting non-ASHG sponsored events with no educational component, held after official meeting programing in host hotels or other offsite locations, and we are happy to include approved events on our official schedule. Examples include networking receptions, promotional product launch events, or evening parties. There is no fee due to ASHG to host or apply, but any room rental fees and all event services and logistics must be ordered and managed by the organizer.

Event Services
To help our organizers budget for their events, we have compiled the below list of vendors at the Colorado Convention Center that offer services relevant to Industry Education sessions.
- Advertising (outside of ASHG channels): TriStar Event Media
- Audio/Visual: Image AV, Freeman AV (contact and ordering info coming soon)
- Catering / Food & Beverage: Sodexo Live! Catering (exclusive vendor)
- Electrical and Utilities (compressed air, water/drainage, etc.): Colorado Convention Center exhibit services team (exclusive vendor)
- Wifi and Telecom: SmartCity Networks (exclusive vendor)
Services can be ordered in advance via the Freeman ESM online or with the respective vendors. Services provided by vendors other than Freeman will be listed at the bottom of the Products & Services page in the section “Non-Freeman Services”. It is the organizer’s responsibility to arrange and purchase any and all services required or desired for your event, including audiovisual (AV), room signs, food and beverage, labor services, etc. The only exception is CoLab session AV, as that is included in the cost of your session.
No additional services may be ordered for CoLab sessions, such as catering, extra AV, wifi, etc. due to the tight scheduling between sessions. Sponsors are permitted to bring lead retrieval devices to their own sponsored sessions.
Sessions do not include lead retrieval or recordings. Lead retrieval service is available for purchase through our registration partner CDS, and sponsors may hire videography services through Freeman or the provider of their choice.
ASHG reserves the right to refuse to review any application that does not meet the criteria set forth in these guidelines. In addition, industry and ancillary events approved by ASHG shall in no way state or imply endorsement of or support by ASHG for the event, organizer, products, or services discussed in announcements or advertising, in any signage, or during the presentations.
