Abstract Submission Fee Policies
The abstract submission fee is a nonrefundable processing fee for each abstract submission based on your membership status at the time of submission. Payment of the fee is not based on acceptance of your abstract submission.
- ASHG Member Abstract Fee: $0
- As a member benefit, there is no abstract submission fee for current 2024 ASHG members.
- Members must log in to the submission site using the same email address in your membership profile to ensure the fee is waived. If you have trouble logging in, please contact membership@ashg.org.
- Nonmember Abstract Fee: $50 USD
- Become a member prior to submitting your abstract to waive the fee.
- Resource-Limited Country Abstract Fee: $0 with promo code
- There is no abstract submission fee for individuals residing in qualifying Low-Income and Lower-Middle-Income Countries, as defined by the World Bank.
- If you reside in an eligible country, you will receive a promo code via email on the date the submission site opens in late April. If you have not received a code and live in an eligible country, please contact meetings@ashg.org.
- Please do not enter your credit card information if you suspect the code did not apply correctly. Payments will not be refunded. Contact meetings@ashg.org for assistance.
An abstract submission is considered complete once all required fields are properly filled. For nonmembers, this includes payment. Members are not required to pay the abstract fee, so the payment step is hidden and not required.
After completion (or payment for nonmembers), you can still update your abstract until the deadline, June 5, 2024, at 5:00 PM U.S. Eastern Time, however, please ensure that all edits are reviewed carefully to avoid removing any required information which will change the status of your submission from complete to incomplete.
Abstract fee payments must be made by credit card (American Express, MasterCard, Discover, or Visa only) in the abstract submission system. ASHG will not process wire payments, fax payments, checks, or purchase orders. If you require an invoice before paying your fee, please contact us at meetings@ashg.org.
- After the payment step, if the charge was successful, you will see a new page with a button to click “Continue.” (If there was any issue, you will see information about the reason the payment was not accepted.)
- You will then be taken back to the Payment step with receipt information showing at the top of the screen. Save or print this screen for your records. You will also receive a copy of your receipt via email.
The abstract submission fee does not register you for the meeting. Separate meeting registration fees apply. All presenters must register to attend ASHG 2024. Registration will open in mid-June.
The abstract submission fee is nonrefundable. No exceptions will be allowed.
- Refunds will not be provided if an abstract is rejected, deleted, or withdrawn or for any other reason, including visa denial.
- Do not delete or withdraw a paid abstract submission to make edits or submit a new abstract. Refunds will not be issued for abstracts that are deleted or withdrawn, and payment will be required for any resubmissions. Contact us at meetings@ashg.org for assistance with editing if needed.
- Payment of the fee is not based on acceptance of your abstract submission.
- The fee will not be reimbursed or refunded if you become an ASHG member after you’ve submitted an abstract. You must be a current member prior to submitting. Click here to join or renew membership.
- If you begin a submission as a nonmember and purchase membership prior to completing the abstract submission, you must log out of the submission portal and log back in to ensure that the new member status is applied.
